Most of us have a particular way of doing things.  It’s likely a unique system developed over time. Beginning with the way your parents did something, shaped by your friends and your educational experiences growing up and finally adapted to suit your current workplace. You’ve tweaked your system until you’ve created something that works for you and that’s great. Whether it’s the way that you track appts, file receipts, organize customer files, or some other task, we all have a slightly different take on the best way to get the job done. The problem with having a unique system for doing things is that it can often be difficult to accept help from others because they don’t understand your system. Many times part of our reluctance to share our system is a simple fear of criticism or resistance to change. It’s our system, we like it, we’re committed to it and we can’t stand the thought of someone else adding their own tweaks and modifications. Often we feel like teaching our system to someone else would take more time and be more trouble than it’s worth. That simply isn’t true. Not only is doing all the work all of the time stressful, it also leaves your business vulnerable if you have to be out for any reason.

Technology can provide some big advantages in this situation. First and foremost, you can detail the way your system works and easily share it with others. If you choose to utilize a solution that enhances your system you can gain benefits in that respect as well. This will usually eliminate the fear of anyone else questioning the effectiveness of our system as well. If the way you do things lines up with a general solution it validates that your system is a good one. Additionally, if your colleagues do make any tweaks of their own they will be recorded and easy for all to follow as well.  Not sure whether there is technology that could improve your system? What if the job you have a system for isn’t one that can be obviously impacted by technology? Manual tasks can be among the most onerous ones that we are faced with. This makes the ability to share the load even more enticing. It’s nice to not always have to be the one who handles these mundane chores.  Again, the key is sharing the way that you’d like to have the job completed. You need to give clear directions, preferably in writing. It can be something as simple as posting a sign near the area where the task is completed or something more complex.
