Anyone who has used technology will tell you that, as wonderful as it can be, it doesn't always work the way it's supposed to. From time to time there are technical glitches that cause problems. Instead of making your job easier, you are frustrated because the system won't respond the way that you need it to.  While we can't prevent these technical difficulties from occurring, we can provide some tips to help you deal with these situations.

First, and foremost, remember that attitude is everything. If you show your frustration and seem upset, your customer will likely be more upset and frustrated, as well.  On the other hand, if you maintain a positive attitude and seem confident that you will be able to quickly resolve the situation your customer will also remain calmer and more confident in a positive outcome.  Sometimes a smiling employee can turn the most disgruntled customer into a happy one.

Of course, smiling while failing to solve the problem isn't going to make anyone truly happy. You need to have a plan in place for finding answers or work around when your technology fails you.  Provide an easily accessible manual or notes to guide employees on quick fixes for system glitches. Keep the numbers for technical support handy so that you always have another option if your first attempt doesn't fix the problem. Sometimes you just need to know who to call. It's not admitting defeat to ask someone else for help. You've only been defeated if you let your customer walk away dissatisfied.

If the issue was quickly resolved to everyone's satisfaction, great. If not, you may need to take other measures to ensure that your customer leaves happy. Empower your employees to offer some sort of compensation for the extra time and hassle involved in handling this issue. First impressions are important but the last impression you make on your customer is what will stick with them when they walk away. If you can send them out the door happy they are much more likely to return to your business.  It can be something as simple as a discount on a future purchase or a free item. Anything that will encourage them to return and leave them with a positive association with your company will provide long term benefits.

Customer satisfaction is key to building a loyal customer base and ensuring your company's long term success. Technology can be a building block to create that foundation but it can sometimes be an unreliable one. Having extra supports to shore up things when they wobble will keep your company on the right path. Check back with our blog often for more tips to help your small business succeed.
